Reservation

How can I make a booking?
BOSS’s booking can be made by website. For booking, you can go to “booking” . Fill up all the information needed.
What are the steps and documents I need to rent with BOSS?
  • A valid driving license
  • Original IC
  • Student visa or pass (if needed)
  • Why am I being charged if someone else is driving the car?
    The one who registered with BOSS using his/her IC and driving license is only allowed to use and drive BOSS. Any third party is not allowed to use and drive as if you let them drive and use BOSS’s car you will be charged RM300 for the unregistered driver. Please take note on this matter, as there will be no refund for the penalty charges.
    How do I know if my reservation is confirmed?
    You will receive your confirmation email after placing a reservation. Kindly make payment within timeframe, if not your temporary reservation will be released. Reservations are not confirmed until you have received a confirmation mail with a payment voucher.

    Driving License

    What is the age requirement to rent a car?
    All hires must be the age of 21 and above with a valid CDL (Competent Driving License). No probationary license accepted. For vehicle under Class F, the age requirement is 25 years and above.
    I'm a foreigner. What documents i need to rent with BOSS?
    Regulation
    Pursuant to Section 28 of APJ 1987, as mentioned on JPJ’s website, only the holder of a foreign country’s driving license from ASEAN countries can drive in Malaysia as long as the foreign domestic driving license is still valid, and is accompanied by a translation in English or Malay (where the license is in a language other than English or Malay), which is confirmed by the embassy of the country of origin in Malaysia, or by the authority issuing the driving license.

    The Association of Southeast Asian Nations (ASEAN) comprised of Indonesia, Vietnam, Laos, Brunei, Thailand, Myanmar, the Philippines, Cambodia, Singapore and Malaysia

    Foreigners who are not from ASEAN countries will require a valid International Driving License (IDP) and a local driving license to drive in this country.

  • Must be at least 21 years old
  • A physical and original International Driving License/Permit together with your domestic driving license.
  • Possess a letter from the embassy to validate your driver’s license and International Driving Permit (IDP).
  • Can I rent a car with BOSS on a P license?

    Unfortunately, we only accept Competent Driving License (CDL) at the moment as your safety is our top priority and our insurance covers CDL drivers at the moment. However, you may check the status of your licence on JPJ’s website.

    Extension of rental

    Can I extend my rental?
    If you want to extend the rental, please contact us as soon as possible. At the latest, this should be before the end date and time on your rental agreement. Extra days will be charged at “pay at location” prices subject to numbers of days you want to extend the rental. Your full authorization will be updated to include any anticipated additional cost-and you will need to use the same payment card you used for the original full authorization. You may need to go into the rental location to sign a new rental agreement and/or provide an additional payment card for the full authorization.

    Late Charges

    How much is the charges for late return vehicles?

    Late return charges may vary depending on which car you rented. Maximum of 5 hours will only be accepted for late return. Below are the prices of late charge.

    Fuel Charges

    Do BOSS Cover Fuel Expenses?
    No, we do not cover fuel expenses through out your journey. We are practising fuel-to-fuel policy in which renter are always liable to return the car with the same level of fuel given to renter during pickup.
    Does the car comes with full fuel?
    No. Fuel level may vary depending on availability during pickup.
    Do i need to refuel the vehicle before return?
    Yes. You will be responsible for the cost of any fuel that is not refilled before returning the vehicle.
    How much is the cost of insufficient fuel that is not refilled?

    Delivery and collection

    Do BOSS provide delivery or collection services?
    You may book for delivery and we will be charging depending on your location. Also we provide pick up at your location if you wish to.

    Out-of-hours Charges

    What's the cost for after-hours car hire pick-up or drop-off?

    When you’re booking online, if you enter the precise time you want to pick up your car, you’ll see what’s available and what extra fee (if any) you’ll pay.

    You may be charged an out-of-hours fee if you pick up or drop off your hire car outside the normal business hours (8.30 a.m to 5 p.m)

    Early Return

    Do I get a refund if I return my rental car early?
    Please note that we are unable to give a refund if you return the vehicle early.

    Fines, Penalty and Summon

    I have caught speeding. How much do i need to pay ?
    You are always liable to pay for the compensation of company losses, including traffic fine and summons imposed by PDRM or JPJ not limited to any offences. Kindly refer your summons information and payment on your email. Penalty subject to BOSS summons and fines policy.

    Protection & Coverage

    Collision Damage Waiver (CDW)

    What is Collision Damage Waiver(CDW)

    Collision Damage Waiver is the term used in the car hire industry to indicate whether the rental car is covered for the cost of repairs in the event of damage (usually excess will apply).

    All vehicles are fully insured with standard motor vehicle policy. However the hirer is always liable for an amount equivalent to the excess clause not exceeding MYR2,500 (Group A), MYR3,000 (Group B), MYR3,500 (Group C), MYR5,500 (Group D), MYR7,000 (Group E) and MYR8,500 (Group F). This covers the cost of repairs or replacement for any damage to BOSS’s vehicle.

    By purchasing Collision Damage Waiver, hirers can reduce the excess liability to minimal. For example, should Hirer intentionally or unintentionally causes damage to BOSS vehicle, hirer is liable to pay the excess which can be reduced as per detailed below:-

    MYR 1,000 (Group A), MYR 1,500 (Group B), MYR 2,000 (Group C), MYR 3,000 (Group D), MYR 4,000 (Group E) and MYR 5,000 (Group F).

    CDW will only be effective subject to availability of police report and acceptance by the Insurance Company as provided in the policy. However, our customer cannot eliminate the excess completely.

    Does Collision Damage Waiver cover everything?
    No. All insurance and excess protection does not apply for damage or lost due to careless action, negligence, illegal or improper use of the vehicle.

    The insurance and excess protection also not cover for missing items or accessories or damages, tyre punctures, burst tyres, fuel errors, battery damage because of forgotten turned off electrical devices and loss or damage to the vehicle accessories.

    You can purchase our Collision Damage Waiver on our website. You can go to booking, under step 4, you can see the price of Collision Damage Waiver. The price may vary depending on the type of vehicle classes.

    You can also refer to vehicle information to see what type of class for each of the car you would like to rent.

    Flood and Storm Coverage

    What happens if rental car gets flooded?
    In most states, in the event of any loss or damage to the car due to natural perils, regardless of fault, your financial responsibility extends to the full value of the car at the time of rental, less its salvage value, plus expenses for towing, storage and impound fees, diminution of value of the car as determined by BOSS, an administrative charge and a reasonable charge for loss of use.
    Does standard rental car insurance cover flooding damage?
    A standard rental car insurance will not cover any losses or damage arising from an act of nature, such as flood and storm. Therefore, hirer is always liable to pay all cost of damages due to natural perils.
    Does CDW cover natural perils such as flood or storm?
    Consequently, CDW is your liability for loss of or damage to the vehicle and third-party damage limited to the Accident and Damages to the vehicle (as shown on the rental agreement) in which case you may be fully liable for any loss or damage. Therefore, it does not cover damage caused by floods or storm.
    Do BOSS have a protection plan for rental cars from flood or storm?
    Mother nature disaster is unpredictable. Yes, hirer may purchase a special perils coverage as an additional protection to their rental car.
    What is inclusion of special perils?
    Special Perils covers your car hire against loss or damage caused by flood and storms.
    Without special perils cover, how much will the losses cost me?

    In the event of any loss or damage to the car due to natural perils, regardless of fault, your financial responsibility extends to the full value of the car at the time of rental as determined by BOSS.

    What type of cover is included in special perils add-ons?
    Special perils add on will only cover losses or damages due to flood and storm. However, in some conditions, special perils add-ons may not take effect should below conditions happen:

    1) The damages happen during the heavy rain but not the flood. 2) The driven vehicle does not pass through the water level below the engine bay or 50% from the tire. 3) If the hirer driving through a puddle and causes damage to the car 4) Any other causes that solely happen due to flood or storm.
    What should I do if my rental car caught in flood?
    • Leave your car immediately and seek higher ground.
      1) Take extra precautions if you’re forced to drive through water. If no alternate route exists and you have no other reasonable alternative but to drive through standing water, do your best to estimate the depth of the water (if other cars are driving through, take note of how deep the water is).
      • Drive the car to a safer places or higher ground.
      • Make sure every participant in the accident is safe and check all involved cars to see the extent of the damage.
      • Ensure that your car’s engine isn’t running, as this could be an additional hazard. Do not attempt to start the engine.
      • Water and electricity don’t play well. Disconnecting the car battery to cuts off all electrical power to these vital components, reducing the chance electrical short-circuits, malfunctioning or in the worst cases – electrical fire.
      • In the event of flood happen, please call our emergency call centre immediately at 017-7030973.
      Boss has its own appointed insurance assistance, should you been approached by road assistant or towing agent,please do not proceed in dealing anything.

    Failure to do this may subject your agreement to void and you will be liable for any cost of accident incurred.

    Accident Car Replacement (ACR)

    Should i purchase an accident car replacement (ACR)?
    It is highly advisable to purchase an accident car replacement protection. Hirer may purchase an accident car replacement (third party) waiver to cover all types of replacement cost which is needed if the hirer is hit by the third party.
    What will be covered under this protection?
    Under this Accident Car Replacement Waiver, what will be cover by this waiver is:

    The full cost of replacing the car
    Can i request for other types of vehicles or brand upon replacement?
    For replacement, BOSS may offer any type of car depending on the booking schedule whichever is still available. The replacement car may not be the same colour, brand, model or engine capacity (CC).
    Is the Accident Car Replacement available at all time?
    Accident Car Replacement is not valid and unable to purchase during peak season or festive season (Public Holiday in Malaysia). We reserve the right to cancel the Accident Car Replacement even though the hirer had purchased this waiver when making the reservation.
    Is the original protection valid for the replacement car?
    Upon receiving the replacement car , Collision Damage Waiver or other excess protection that has been purchased for the accident car will not be applicable to the new replacement car. Hirers need to purchase a new excess protection.

    Windscreen Protection Waiver (WPW)

    What if I cause minor or major damage to BOSS's vehicle?
    Should you intentionally or unintentionally cause damage to the windscreen, hirers are always liable for all cost of replacing or repairing windscreen to the original condition.
    Do I need to pay for a small star, chips, or crack on the windscreen?
    BOSS will advise the hirer on the cost of damages once BOSS are satisfied with the cause of the incident. Failure to inform BOSS may result in additional penalty charges.
    What If the windscreen got bigger cracks?
    It is agreed that BOSS will advise customers on the existing damages in BOSS’s car before handing it over to the customer. In the event, the windscreen happens to a bigger crack BOSS reserve the right to charge the hirer full cost of replacing the new windscreen.
    Should I purchase windscreen protection?
    It is worth finding if your rented vehicles covered you from excess windshield replacement. You have option to purchase windscreen protection on our website to cover the excess. Read our terms and conditions for more.
    Will i be charge if the windscreen got damage?

    Travel Essential

    Child Car Seat

    Do you rent a baby safety car seat?
    There is an option for a child seat under the add ons section. Additional charges will be included in your booking invoice. You can refer to booking, under Step 4, there is an option to choose a car seat.

    Car seats are subject to availability. We practice first come first serve customers in order for them to book for child seat.
    Can i bring my own car seat?
    Yes ,you may bring your own child seat with a condition car seat will not cause the seat to be damaged by any condition while installing it to BOSS’s car rental.

    Travel Insurance

    What is travel insurance and where can i purchase it?
    Trip Care 360 Takaful provides benefits to the covered person on the occurrence of specific events that may arise during domestic or international travel, for business or leisure. It includes death or permanent disability due to accident, medical expenses arising due to accident or illness, various travel inconveniences, losses or damages to baggage and/or personal effects, personal liability, and emergency services. The covered person may also choose to participate in an additional benefit, which extends the coverage when the covered person participates in the adventurous activities.

    Should i purchase a travel insurance?
    BOSS are always encouraging our hirer to purchase travel insurance when travelling. Travel insurance may protect you from personal body injury and death if an accident happens.

    Smart Tag and Touch N Go Card

    Does BOSS provide a smart tag?
    Rates do not include smart tag and touch n go. Generally, all tolls and highways in Malaysia practice cashless payment. No cash is accepted. To smoothen the journey, the employer has the option to rent a smart tag with BOSS. You can go to ‘Booking’, under step 4-equipment and services, there is option to purchase rental of Smart Tag.
    Do smart tag come with touch and go cards?
    Yes, the Smart Tag device comes with an enhance Touch N Go NFC card.
    What if I lose the smart tag or Touch N Go card?
    There is a penalty of RM200 for any missing, lost, or stolen Smart Tag device. Hirer is responsible for taking good care of our smart tag device for the convenience of our entire customer base.

    If the Touch N Go card is misplaced, lost, or stolen,the customer needs to pay RM30 for the card plus the opening balance stored in the card.
    I accidentally broke the smart tag, will I be charged for penalty?
    Yes. All our smart tag devices are sensitive infrared devices. Hirers must ensure to keep smart tag in a safe place, not to break the smart tag and return it as the original condition given to you.
    Do the Enhance Touch N Go Card comes with a credit balance?
    ​No, the card does not contain any credit value. You will need to top-up to reload your card with value at any convenience store or an authorised merchant. However, should you want us to reload the amount in advance for you, you can drop us a request via chat or Whatsapp.
    How do I request BOSS to reload the card before pickup?
    You can speak to our Sales Representative to request the credit value on the card at least one day before your pickup date. Please proceed to the live chat on the corner of the website.
    Can I get a refund for excess balance upon return?
    Unfortunately, no refund will be granted to the hirer should the card have an excess balance upon return. Please reload the card only with the required amount to avoid any excess balance on the card.
    Can I use the initial balance on the card?
    Unfortunately, no. The card must be returned with the same balance as it was provided to the hirer. If the hirer has spent the remaining sum, the hirer must pay for the excess.

    Payment, Refund and Cancellation

    Payment

    Do BOSS accept cash or online transfer?
    Starting on 1st January 2020, BOSS practices a cashless payment. Cashless is a non physical money accepted. You can use your credit or debit (VISA/MASTER) card to make payment on BOSS website.
    What if i dont have a credit or debit card?
    To smoothen the process of renting our card, it is a mandatory requirement to rent with BOSS.
    What is the payment condition for BOSS?
    Under the payment site, you can choose to pay 50% from your total reservation or you may pay in full. If you choose to pay 50% from your total amount of reservation, we will charge your card for the remaining balance before or upon pickup the car. You must ensure you have a sufficient balance in order for us to charge your card. We will not hand over the rental vehicle to you if you have an outstanding balance with BOSS.
    My card entry failed with an error message.
    You can check with our reservation team by dropping your enquiry on our Live Chat or alternatively you should contact your bank to inform you of this error.
    Do BOSS charge a security deposit?
    For certain cases, we may require you to have a cash security deposit.

    Cancellation

    I want to cancel my reservation. Is there any charges?

    Normal operation season:

    (a) 25% from your total reservation payment.

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes any time before your scheduled rental date or no show on the arrival date.

    (b) 100% or full payment from your total reservation payment.

    Full refund of your reservation payment if you cancel or make any changes 8 days prior to your scheduled rental date.

    40% of your total amount of your reservation payment will be charged if you cancel or make any changes from 2 to 7 days prior to your scheduled rental date.
    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 1 day (24hours) before your scheduled rental date or no show on the arrival date.

    For promotional code or voucher code payment :

    Kindly be reminded that this promotional code or voucher code which is offered to selected customers only. Should customer has make partial (25%) or full payment, 100% from your total amount of your reservation payment will be charged if you cancel.

    For peak season and festive (applicable to all Public Holiday in Malaysia):

    (a) 25% from your total reservation payment.

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 7 days before your scheduled rental date.
    (b) 100% or full payment from your total reservation payment.

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 7 days before your scheduled rental date.

    For overseas/remittance payment:
    A management charge of 8% from total reservation amount will be charged for each transaction fee. These charges may vary depending on the country and current foreign exchange rates. BOSS will advise hirers on charges following current exchange rates.

    Refund

    For a refund, we will only use PayPal or remittance transfer to bank account.

    A one-time cancelation fee will be charged at the rate of 5% from the full amount paid for the reservation for any cancelation of booking.

    Will my booking be cancelled without the required documents?
    BOSS reserves the right to refuse any rental, at their discretion, or should the Hirer not meet with the standard terms and conditions of rental before or during rental period. If you fail to meet the requirements during pickup, we reserve the right to apply the full rental charges to your account.

    Can I get a refund if I return the vehicle early?
    Please note that we are unable to give a refund if you return the vehicle early.
    How do I claim my refund for early cancellation?

    Will I be charged for a cancellation?

    Normal operation season:

    (a) 25% from your total reservation payment. 

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes any time before your scheduled rental date or no show on the arrival date.

    (b) 100% or full payment from your total reservation payment.

    Full refund of your reservation payment if you cancel or make any changes 8 days prior to your scheduled rental date.

    40% of your total amount of your reservation payment will be charged if you cancel or make any changes from 2 to 7 days prior to your scheduled rental date.
    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 1 day (24hours) before your scheduled rental date or no show on the arrival date.

    For promotional code or voucher code payment :

    Kindly be reminded that this promotional code or voucher code which is offered to selected customers only. Should customer has make partial (25%) or full payment, 100% from your total amount of your reservation payment will be charged if you cancel.

    For peak season and festive (applicable to all Public Holiday in Malaysia):

    (a) 25% from your total reservation payment.

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 7 days before your scheduled rental date.
    (b) 100% or full payment from your total reservation payment.

    100% of your total amount of your reservation payment will be charged if you cancel or make any changes 7 days before your scheduled rental date.

    For overseas/remittance payment:
    A management charge of 8% from total reservation amount will be charged for each transaction fee. These charges may vary depending on the country and current foreign exchange rates. BOSS will advise hirers on charges following current exchange rates.

    Refund

    For a refund, we will only use PayPal or remittance transfer to bank account.

    A one-time cancelation fee will be charged at the rate of 5% from the full amount paid for the reservation for any cancelation of booking.

    What payment methods does BOSS accept for refunds without a Malaysian bank account?
    We will only transfer your remittance using Western Union or bank account or paypal account. Cash refunds are not available. Please be ready to provide us with your details should you wish to cancel. For full refund and 25% cancellation charges, renter whom a non-Malaysian bank account holder is always liable for any payment transaction fee that may be incurred for refund processing. BOSS will advise hirer on charges following current exchange rates.

    Credit Balance

    What is a Credit Account?
    The amount spent on your rental booking will be reimbursed to you as a Credit Account for you to make future bookings with BOSS. It will be available in your Member account in the same currency which was used to pay for your car rental booking.
    Who will receive the Credit Account?
    The Credit Account will only be reimbursed to the BOSS hirer who is the payee of the booking.

    Credit Account is non-transferrable once issued, therefore you will not be able to transfer any of your Credit Account amount to Anyone once we has issued it.
    Can i received the refund by cash or bank transfer?
    Unfortunately no. We will only offered customer refund in credit balance account.
    How should i know my credit balance amount?

    You will receive an email notification once the Credit Account is issued.

    A Credit Account gives you the flexibility to make future bookings at any time, even during the peak travel season or BOSS Promotional Sale as long as the booking schedule is available on our website . with a validity of up to 360 days (one year)* from the date the Credit Account is issued into your BOSS member Account.

    How to use credit account in future rental?
    Please email us at sales@bossempiretravel.com or whatsapp at +6018 236 4401 should you wish to use your credit account. Booking are always subject to availability. If your Credit Account balance is insufficient, simply use other payment options available to pay for the remaining balance.

    Guideline to Accident, Breakdown & Other Damages

    What to do if you're having tyre deflations?
    1. Stay calm and do not panic. If you hear and feel a strong, rhythmic thumping or flapping sound, and the steering may start to feel vague and heavy. You need to pull over to the side of the road safely as soon as you can.
    2. Turn your hazard light. Your hazard lights or “flashers” will help other drivers see you on the side of the road. To avoid an accident, turn them on as soon as you realize you need to pull over.
    3. Change the flat tyre using replacement tyre inside the car boot.
    4. Do drive slowly and carefully and stop somewhere nearby to local tyre repair centre. Once you reach there, please give us a call.
    5. Be aware that if you drive it using replacement for a long journey, the tyre will almost certainly be damaged beyond repair.

    I've met with an accident. What should i do?

    Minor Accident

    1. Make sure every participant in the accident is safe and check all involved cars to see the extent of the damage.
    2. If car is driveable, please continue your journey as usual.
    3. In the event you hit the other driver or being hit by a car , please notify us as soon as possible.
    4. You will then required to sent a photo or video of your accident.

    Major Accident

    1. Make sure every participant in the accident is safe and check all involved cars to see the extent of the damage.
    2. Ensure that your car’s engine isn’t running, as this could be an additional hazard.
    3. In the event of accident happen, please call our emergency call centre immediately at 017-7030973. Boss has its own appointed insurance assistance, should you been approached by road assistant or towing agent, please do not proceed in dealing anything.
    4. Failure to do this may subject your agreement to void and you will be liable for any cost of accident incurred.
    What to if the car battery is dead?
    1. Boss has its own appointed battery agent, we will arrange a battery replacement for you.
    2. It may take some time for the agents to sent it to you and do the replacement. We will try our level best to assist you on the battery died replacement process.

    1. Small chips/cracks/star

      1. In the event windscreen has a minor damage,you may continue your journey as normal.
      2. Kindly assist to monitor the cracks, it is get worsen, please inform us immediately

      1. In the event major cracks or broken to BOSS’s rental car windscreen, please contact us as soon as possible.
